These Terms and Conditions apply to all bookings made with Grape Escape (“we”, “us”, “our”), a curated wine, food, and cultural travel experience provider. By booking a tour, experience, or service with Grape Escape, you confirm that you have read, understood, and agreed to the terms set out below.
1. Bookings and Payment
1.1 All bookings are subject to availability and are only confirmed once the required deposit or full payment has been received.
1.2 A non-refundable deposit is required to secure your place. The deposit amount will be clearly stated at the time of booking.
1.3 Full balance payment must be made by the deadline specified in your booking confirmation. Failure to pay the balance on time may result in automatic cancellation without refund.
1.4 Prices are quoted per person unless otherwise stated and may be subject to change due to factors beyond our control, including supplier price increases, taxes, or currency fluctuations.
2. Cancellation by the Customer
Due to the nature of our experiences, which involve pre-booked accommodation, wineries, transport, guides, and third-party suppliers, our cancellation policy is strict.
2.1 All cancellations must be made in writing via email.
2.2 Cancellation charges apply as follows:
•More than 90 days before departure:
Deposit is non-refundable. Any additional payments made may be refunded, minus administrative and third-party costs.
•90 to 61 days before departure:
50% of the total booking value is non-refundable.
•60 to 31 days before departure:
75% of the total booking value is non-refundable.
•30 days or less before departure:
100% of the booking value is non-refundable.
2.3 No refunds will be given for:
•Late arrival
•Early departure
•Missed experiences
•Failure to participate for any reason, including illness or personal circumstances
2.4 If a guest fails to attend without notice, this will be treated as a no-show and no refund will be issued.
3. Transfers, Name Changes and Substitutions
3.1 Name changes or guest substitutions may be permitted at our discretion and may be subject to an administrative fee.
3.2 Any costs incurred due to name changes imposed by third-party suppliers will be passed on to the customer.
4. Cancellation or Changes by Grape Escape
4.1 We reserve the right to cancel or modify an experience due to circumstances beyond our control, including but not limited to:
•Extreme weather
•Supplier failure
•Health and safety concerns
•Force majeure events
4.2 If we cancel an experience, we will offer:
•An alternative experience of similar value, or
•A credit voucher for future use, or
•A refund of monies paid excluding non-recoverable third-party costs
4.3 We are not responsible for any additional costs incurred by customers, including flights, accommodation outside our programme, loss of earnings, or personal expenses.
5. Travel, Insurance and Personal Responsibility
5.1 Travel insurance is mandatory for all guests and must cover:
•Medical expenses
•Cancellation
•Curtailment
•Personal liability
•Loss or damage to personal belongings
5.2 We are not responsible for any losses that would otherwise be covered by appropriate travel insurance.
5.3 Guests are responsible for ensuring they are medically fit to participate and must disclose any relevant medical conditions or dietary requirements prior to travel.
6. Alcohol Consumption and Behaviour
6.1 Wine tastings are an integral part of Grape Escape experiences. Guests are responsible for consuming alcohol responsibly.
6.2 We accept no liability for incidents, injuries, illness, or damages arising from excessive alcohol consumption.
6.3 We reserve the right to remove any guest from an experience without refund if their behaviour is deemed unsafe, disruptive, offensive, or detrimental to others.
7. Transport, Accommodation and Third-Party Suppliers
7.1 Grape Escape acts as an organiser and facilitator and works with independent third-party suppliers including wineries, hotels, transport providers, guides, and venues.
7.2 We are not liable for the acts, omissions, or failures of any third-party supplier.
7.3 Any issues with third-party services must be raised at the time of occurrence where possible.
8. Liability and Limitation of Responsibility
8.1 Participation in Grape Escape experiences is at the guest’s own risk.
8.2 To the fullest extent permitted by law, Grape Escape shall not be liable for:
•Injury, illness, death, loss, or damage
•Delays, cancellations, or disruptions
•Acts of God, force majeure, or unforeseen events
•Theft or loss of personal belongings
8.3 Our total liability, if any, shall not exceed the amount paid by the customer for the experience.
9. Photography and Content
9.1 We may take photographs and video during experiences for marketing and promotional purposes.
9.2 By participating, guests grant Grape Escape permission to use such content without compensation, unless a written objection is received prior to the experience.
10. Data Protection
10.1 Personal data will be handled in accordance with applicable data protection laws and our Privacy Policy.
11. Governing Law
11.1 These Terms and Conditions shall be governed by and construed in accordance with the laws of England and Wales.
11.2 Any disputes shall be subject to the exclusive jurisdiction of the courts of England and Wales.
12. Accepting Terms
By booking a Grape Escape experience, you confirm that you have read, understood, and accepted these Terms and Conditions, Cancellation and Refund Policy in full.
